How to choose RRP recordkeeping software for your firm

RRP recordkeeping software should make your firm's actual documentation easier to collect, review, and retrieve. Start your evaluation with a familiar job and follow it from intake to export. A realistic trial reveals more than a feature list or a polished sample packet.

Start with the process you already have

Write down where the current process loses time: unsigned customer paperwork, certificates scattered across email, unlabeled photos, or office staff rebuilding job packets. Prioritize the problems your team actually encounters. A small firm with a reliable filing process may need only a few improvements rather than a complete change of tools.

Ask who will enter the first property details, who collects field evidence, and who checks the final record. Then use those people in the trial. A system that works only when its most experienced administrator runs every step may not fit the daily workflow.

Run a complete job through the trial

Use fictional customer details and representative documents while evaluating. Enter a property, assign a crew member, add a receipt, attach a photograph, and export the result. Inspect whether each item remains connected to the job and whether another person can find it without instructions.

Next, change a detail: add a room, replace an assignment, or correct a typo. Check how the tool represents the change and what the export shows afterward. Look for clear behavior that fits the firm's review process.

  • Can the office identify what is still missing?
  • Are credentials connected to people and job assignments?
  • Does a sent customer request remain distinct from a completed receipt?
  • Can the crew attach readable evidence with useful context?
  • Can you export records and original attachments?
  • Can a recipient understand the exported file without your login?

Ask about access, storage, and failure cases

Check who can access customer records, how staff access is removed, and what happens when a device loses its connection. If offline support is offered, test its boundaries with sample data: which actions save locally, which require a connection, and how the user knows a change reached the server.

Review data access after a trial or subscription ends, along with export options and the firm's own retention plan. Ask direct questions about anything the product leaves unclear. A useful answer describes actual behavior and limitations instead of promising automatic compliance.

Where RRP Central fits

RRP Central brings job forms, customer acknowledgments, crew credentials, and evidence into one workspace. Firms can review unfinished records and download a PDF or ZIP packet. The site offers a free trial so you can evaluate those steps with your own workflow; current plan details are on the pricing page.
